Introducing a covid safe room booking system

The second lockdown in France allowed us to implement a tool to prevent long waiting lines in front of rehearsal rooms.
Conservatoire National Supérieur de Musique et de Danse de Paris (CNSMDP) had been looking for some time to speed up the day to day management of its venues – in particular the rehearsal rooms which can be booked by students.
With over a thousand students each with their own unique schedule, they needed a reliable tool to check availability and book rehearsal spaces.
In September 2020, #MyDiese was launched as an online room booking tool to the CNSMDP’s 1,300 students.
Each was given access to an easy to use, mobile-friendly portal that allowed them to check their schedule and book available spaces to rehearse.
IT4Culture configured custom validation rules that allowed CNSMDP to ensure that no single student was booking too many rooms or booking too far in advance. Additionally, an approval step from an administrator was also added for some spaces.
This new tool turned out to be essential in the Covid-19 period. During the second lockdown in France, all classrooms and studios stayed available for reservations, as long as students could continue to work and rehearse safely on the premises.
In just four months, approximately 30,000 bookings have been made in #MyDiese across the 150 studios and rooms. On average, 1500 requests are created weekly.
We are proud to contribute to the continuity of artistic activities at CNSMDP. Room booking is the newest functionality offered in #MyDiese, and is an exciting evolution for a personal portal already being used by others to view schedules, production information, request absences and store contacts.
