Royal Concertgebouw Orchestra: Centralized Orchestra Management
SSince 2023, the Royal Concertgebouw Orchestra (KCO) has implemented #DIESE to centralize season planning, repertoire management, and musician contracts. Fully operational in 2025, this system supports artistic, administrative, and technical teams across the entire organization.
A single system for the entire orchestra
Based in Amsterdam, the KCO is one of the world’s most renowned symphony orchestras. Its international programming, busy touring schedule, and extensive repertoire require constant coordination between multiple departments. These include artistic direction, production, music libraries, administration, and contract management.
Previously, teams relied on separate tools, including OPAS for orchestra management. The goal was clear: create a single source of truth to:
- Centralize the general schedule
- Structure season programming
- Consolidate repertoire management
- Manage musician contracts in one environment
Led by the IT department, the project ensures organization-wide access and clear workflows.
Key modules for orchestra management
- Productions, contacts, and scheduling
The productions database is now the backbone of KCO operations. Every project—concerts, programs, and tours—is structured in #DIESE with:
- Program details
- Cast and personnel
- Associated schedules
- Contractual documents
The general schedule offers a consolidated view, simplifying resource management and interdepartmental coordination.
- Repertoire management (Works module)
The Works module organizes symphonic repertoire by linking productions to compositions and versions. It records historical programs and aligns artistic planning with instrumental needs. Custom developments meet complex requirements, including cross-disciplinary collaborations. - COB module for musician scheduling
Orchestra management relies on the COB module (Chorus – Orchestra – Ballet) for permanent ensembles. #DIESE allows the KCO to:
- Create and manage musician engagements
- Assign artists to rehearsals and performances
- Control remuneration rules
- Generate timesheets
- Export payroll data
Contract workflows are structured in #DIESE, with step-by-step signing and validation processes.
A shared platform for all teams
The system is widely adopted:
- Librarians manage works and instrumentation
- Managers and production teams coordinate schedules
- Administrative staff access planning and reporting
This approach creates a truly shared system, integrating all orchestral functions.

The project includes:
- SSO for secure login
- API access for other systems
- Salesforce integration for payroll
- DocuSign electronic signatures
These integrations ensure smooth data flow, avoid double entry, and maintain a cohesive digital ecosystem.
Collaborative and evolving deployment
The project launched in 2023 and went live in 2025. Early adoption required guidance, but today the platform supports continuous optimization. Updates include improved contract workflows, advanced musician scheduling, and rollout of the MyDiese portal.
